The cohort & where data comes from

Every customer tagged wholesale, LOH-PRO (with an active Pro status), or BLACKCARD2026 on Shopify. The server keeps a local copy: small updates sync continuously and a full resweep runs daily, so the page loads instantly instead of hitting Shopify live. The freshness chip in the directory toolbar shows when the cache last updated.

RFM scores

Every Pro who has ordered gets three 1–5 scores against the other buyers: Recency (how recently they last ordered), Frequency (lifetime order count), Monetary (lifetime spend). 5 is best. A 5-5-5 is a top customer; an R of 1–2 with high F/M means a big spender who has gone quiet.

Segments

The R/F/M combination places each buyer into a named segment (Champions, At Risk, Can't Lose Them…). Pros with zero orders get their own Never Ordered segment. Hover any segment chip for its exact meaning; click it to filter the directory and every export button.

Today's call list

Two queues. Scheduled: follow-ups you set (or auto-set), overdue first. Suggested: Pros in a slipping segment (Can't Lose Them, At Risk, About to Sleep, Need Attention) with no contact in 30+ days, biggest lifetime spenders first. Work top to bottom.

Outreach & auto-logging

Any envelope button opens Gmail with a subject tuned to that customer's segment. The moment it opens, the touch is logged automatically with a follow-up set 30 days out, so "last contacted" and the call list maintain themselves. Calls, DMs and in-person touches can be logged manually inside the customer view.

The KPI row

Active, Slipping and Dormant split the buyers by last-order date (≤90 days, 91 days–1 year, over 1 year) and always add up to the buyer count. Revenue and Avg LTV count buyers only, so the never-ordered list doesn't dilute them.

EDU Pro Pipeline

People who bought a class but are not tagged wholesale yet: the application-funnel leak. Syncs daily at 6am (or Refresh now). Mark contacted as you work them.

Top Customers

Highest lifetime spenders. Pick a date range to re-rank by spend inside that window (fetched live from Shopify).

New-Pro Activation

Never-ordered Pros in three waves by how long they've been a Pro: Fresh ≤90d (newest first, hottest for a first order), Aging 91d–1y, Stale >1y (last touch or prune). Each wave exports its own CSV / email list.

Due for Reorder

Buyers with 3+ orders whose personal average gap between orders has been exceeded by 25% or more (and at least 2 weeks) — their reorder pattern says they should have bought again by now.

The customer view

Click any row: live 36-month order history from Shopify, Klaviyo engagement (last open/click), tags (edits sync to Shopify; the highlighted ones control Pro access — remove with care), team-only notes, and the outreach log. CSV downloads exactly what's filtered on screen; Copy emails builds a BCC list; Email via Klaviyo pushes the filtered set to a Klaviyo list for a campaign.

How this works
Everyone who bought a LINEONE class (Education products) but is not tagged wholesale — potential Pros leaking out of the application funnel. Re-syncs daily at 6am; Refresh now forces it. Signal mismatch means they carry an active Pro metafield but no wholesale tag. Mark contacted records your outreach so the team doesn't double-touch.
